The latest developments in Apprenticeship Certification at IMI
FISSS (The Federation of Industry Sector Skills & Standards) who were formerly known as The Alliance of Sector Skills Councils, have recently been appointed as the certificating authority for Welsh Apprenticeships taking effect from 23rd June 2013. FISSS have developed a new online system called ACW (Apprenticeship Certification Wales) for Welsh Apprenticeship certification which will supersede the paper based system that is currently in use.
The new ACW system is now available for Training Providers to register as a centre which will enable them to register apprentices and claim Apprenticeship certification once the system goes live. *Please note that the system is not yet live and therefore not fully operational so centres will not be able to register apprentices or claim certification at present. Once we have more information from FISSS regarding the timescale for the new ACW system going live for use we will communicate this to the network.
Please may all training providers in Wales who claim Apprenticeship certification on behalf of their motor vehicle learners register as a centre on the new ACW system in preparation for it going live for use.

The new MA Online Version 2.0.4 has been officially released by the FISSS (previously known as the Alliance of Sector Skills).

Now that MA Online Version 2.0.4 is up and running all centre’s must register as a new centre onto this version by 6th June 2013, at the latest, in order to be able to register new learners moving forward. Once registered as a all new apprentices must be registered on the new version from then onwards.
The old MA Online Version 1 will run in parallel with the new MA Online Version 2.0.4 as existing learners are unable to be transferred from the old system to the new system. The old MA Online Version 1 will remain live until all certificates have been claimed for all of the outstanding apprentice’s currently registered.
*Please Note: The new MA Online Version 2.0.4 includes all of the new Framework 5 Apprenticeships, however it DOES NOT include any Framework 4 Apprenticeships. This means that the website will only be used for Framework 5 registrations and claims. So in case it has not been done already, please ensure that any outstanding registrations still to be made for Framework 4 apprentice’s are done as soon as possible on the old MA Online Version 1 as the registration process on this system shall shortly be discontinued.
ACE online is the Apprenticeship Certification system used in England. The system allows centres to register apprentices, upload evidence and claim for apprentices certificates upon completion of an Apprenticeship. The system allows this process to happen very quick and effectively particularly if an apprentice is registered at the start of the Apprenticeship rather than at the end as evidence can be uploaded as the apprentice progresses which saves time when coming to claim. IMI encourages all centres to register each apprentice at the beginning of the Apprenticeship to aid the certification process.
The Alliance of Sector Skills Councils, who are the certificating authority for Apprenticeship completions, have announced the introduction of a new universal apprentice Declaration & Authorisation Form (please see 'Downloads' section). The universal form has been designed to provide greater efficiency and consistency in meeting the regulatory and quality assurance requirements for Apprenticeship certification evidence. The new form will also remove the need for the completion of multiple declaration forms for each apprentice and provide consistency across all sectors.

This means that by using the universal form it will no longer be necessary to also complete, sign and upload any separate forms for ERR, PLTS, GLH or Apprentice Declaration & Authorisation, except where ERR has been achieved via a recognised qualification as required by the Automotive SASE compliant Apprenticeship frameworks.
The apprentice will also have to sign to give their authority for the claimant, named on the form, to make a claim, on their behalf, for their Apprenticeship completion certificate.
The new universal form can be uploaded as evidence onto ACE via the new field that has been created specifically for this purpose from 27th August 2012 onwards and is suitable for both Blueprint and SASE compliant Apprenticeship frameworks. From 1st January 2013 onwards the new universal form will become mandatory and will be the only form of evidence accepted. Old style forms will be accepted up to 31st December 2012, however the IMI encourage all providers to start using the new form as soon as possible.

From 27th August 2012 a number of existing data input fields within ACE will become mandatory for completion. The introduction of the fields becoming mandatory will improve the quality of information being collected for all apprentices as well as improve the searching and filtering of data held on ACE by removing opportunities for omitting or incorrectly inputting data, which will facilitate more accurate reporting on all aspects of Apprenticeships being delivered.
